Hire Terms & Conditions



Before confirming your booking with Soul Crowns,

we kindly ask that you take a moment to read through our hire contract.


It's designed to keep everthing clear, outlining details about our hire packages, deposits, styling setup, pack down

 and care of our handmade decor'.


Agreement


This agreement outlines the terms and conditions under which Soul Crowns 

provides hire items and styling services to the Client for their event.

By booking with Soul Crowns, the Client acknowledges and agrees to these terms.



1. Booking Confirmation


A booking is confirmed once a signed contract and the booking deposit has been received.

A non-refundable deposit of 20% of the quoted price is required at time of booking to secure your date and hire package.

Hire bookings are not confirmed until the deposit has been received and acknowledged by Soul Crowns.

Please make payment within 48 hours of excepting our quote to avoid disappoint.

Full payment is due 3 months prior to booking date.


2. Hire Period


The standard hire period is 2 days including morning delivery, setup , event day and collection.

Extended periods can be agreed in writing and may incur and additional charge.

Items must remain at the same venue at all times.



3. Delivery, Setup & Collection


Soul Crowns provides delivery between 8am - 5pm,

setup, styling and pack down for all booked decor' and installations at the same venue

where your wedding ceremony & reception are held.

Home weddings may be accepted at the discretion of Soul Crowns.

Delivery fees are based on location from our warehouse in the Scenic Rim.

Access to the venue must be confirmed prior to the event date,

please provide easy access Parking  for our vans and our team for a smooth setup.

Soul Crowns reserves the right to with hold delivery or remove items if unsafe or unsuitable conditions exist.

If for any reason you change your venue /location you must contact Soul Crowns with new changes immediately,

a new contract will be signed  - additional travel fees may apply. 


4. Damage, Loss & Care


All items remain the property of Soul Crowns.

The Client is responsible for all hire items from the time of delivery until collection.

 Any damage, loss or theft that occurs during the hire period will be charged at full repair or replacement value.

A Security/bond deposit of the amount $500 is required 1 month before event period and will be

refunded after inspection of items upon return.

Please ensure all items are kept in a safe , dry and secure environment at all times.


5. Weather Conditions


Soul Crowns decor' includes delicate materials such as macrame', faux flowers, dried florals and vintage items.

In the case of servere weather conditions, alternate indoor arrangements will be discussed.

We reserve the right to refuse setup in unsafe or unsuitable conditions to protect our team and items.


6. Creative Styling


By booking Soul Crowns, you agree to our creative direction and signature style.

We take pride in handcrafted displays that reflect your vision, while maintaining artistic integrity.


7. Photography & Promotion


Soul Crowns reserves the right to photography & Video setups and use for marketing and social media purposes.

Client privacy is always respected and names or details will not be shared without consent.


8. Liability & Indemnity 


Soul Crowns will take the utmost care in every part of setup, styling and pack down services.

However, we will not be held liable for injuries, accidents, loss or damage, venue related incidents during or after the event,

or the use or misuse of hire items.

It is the Clients responsibility to ensure that hired decor' is used safely and appropriately within the venue's conditions.


We highly recommend event insurance through your insurance provider 

to cover any accidental damage or loss.


9. Arbours


All arbours and decorative structures are securely installed in accordance with safety guidelines.

For Outdoor Use, arbours are pegged and secured in place ,

 please note , arbours cannot be erected in high wind or wet/muddy conditions or

unsafe weather we reserve the right to refuse setup.

Arbours cannot be moved once secured by anyone other than a Soul Crowns team member.

Outdoor arbour hire will be packed down and removed by Soul Crowns team the same day

with in 3 hours after the ceremony, or other arrangements are confirmed.


For Indoor Use, weight bases are used to ensure stability and prevent movement.

Arbours cannot be moved once weight bases are secured by anyone other than a Soul Crowns team member.

Indoor Arbour pack down will accur same day of contract end period.


10. Vintage Decor' / Floral items


Hire items are for decorative use only and must be treated with care.

Our vintage decor' pieces and florals are for indoor or fair weather use only.

they must not be left outdoors overnight or exposed to rain, wind or other adverse weather conditions.

The Client agrees to ensure all items are kept in a dry, secure location until collected.

In the event of unexpected weather, all items must be moved indoors by venue staff or allocated responsable adults 

to a dry safe environment to prevent any damage.


11. Use of Candles


For safety reasons, the use of open flame candles is strictly prohibited with Soul Crowns Decor'.

Many of our pieces feature delicate textures, florals and materials that are highly flammable and one of a kind.

To maintain the same warm ambient glow, we supply wax pillar style LED candles and

tea light candles for safe use with all of our products.


Soul Crowns will not be held accountable or liable for any damage, loss or injury resulting from the 

use of exposed flame candles with our decor' items.


12. Cancellations, Fees & Charges


All hire bookings require a non refundable deposit to secure your date.

if a Client wishes to cancel their booking, the following conditions apply.


. Cancellations more than 60 days prior to the event date:

the deposit will be retained, but no further payment will be required.


. Cancellations within 30 - 60 days prior to the event date:

50% of the total hire package fee will be charged to cover preparation and scheduling costs.


. Cancellations within 30 days of the event date:

100% of the total hire package fee will be charged, as styling, setup and stock allocation will have been prepared.


No refunds or credits are offered for change of mind, bad weather or venue cancellations.


Soul Crowns will not be liable for failure to deliver or perform services due to events beyond its control,

including weather , venue closer, illness, accidents or natural disasters.

In such cases reasonable efforts will be made to reschedule or offer alternative arrangements.
